We have organised a chill out weekend for the club, one that everyone - families, shinies, whoever can come along and enjoy themselves. In essence it’s a time to stop, take stock and spend time doing – well whatever you want.  There will be a few things put on for kids to partake in, but there is no obligation. There is fishing on-site.

Although the dates are very close to Mega Meet, this is in no way set up as a rival meet – more complimentary one for those who want to do something less strenuous.

The date is the weekend of  the 12th /13th May 2007
The site we have booked is Lickhill Caravan Park, Stourport.

We used this for the Safari park meet in Sept 05. Although there were a few issues that upset them, I recently paid them a visit and talked it over with them and they are now happy to have us back – basically, as long as we are reasonable then they are.
We have 40 pitches available and we may be able to get more if necessary, bookings will be handled by Tiger and myself. But if demand allows we may be able to book more direct.
Cost will be £20, this is a fixed fee and covers you for one pitch with electric for Friday and Saturday nights, any extra nights will be £10 each
So far a very loose suggestion of an itinery could be.

Friday
Arrive, set up pitches. Evening meal could be communal or if preferred on your own.
Hopefully we may be able to have a club gazebo?
Kids Disco in the gazebo inc karaoke.
Later on a few beers – just for medicinal purposes.

Saturday
Morning Treasure Hunt for the kids, parents RELAX.
Afternoon Nothing planned – time to do your own thing.Boat trip to Stourport maybe?
Communal Rounder’s/cricket/five aside game,
Kids Disco, Face painting, any other activities?

Evening Main Party Time, entertainment – anyone got any skills?
Pass the parcel, raffle, etc.

Sunday Day trip to Safari Park, which means day-trippers can join in.

Sunday evening depart your pitch by 5, unless staying till Monday.
Or Monday depart.

Other attractions in the locality include:
· West Midlands Safari Park
· Severn Valley railway
· Stourport on Severn Riverside attractions
· Rays farm
· Hartlebury Castle
So here you go, have a think about it, and if you want to have a great relaxing weekend, please do join us.

A deposit of £10 is required as soon as possible.

I'm not going to be silly and assume that everybody will be able to make it, because it's a long time until the meet, and as we all know, something else often prevents us from going.

We have now passed the critical point at which i am afraid we are going to have to ask for deposits.

In the past we have had people pull out leaving the remaining people who are attending to fork out the shortfall, this mustn’t happen here.

I also have a 'proposal' that we charge an extra £5 per pitch to cover incidentals that we may or may not know about at this stage - e.g. charge for the additional pitch for a gazebo, face paints for the kids, gas for a heater etc.

So we will PM all the interested attendees with contact details and request that people send a £10 deposit asap.

Is this acceptable to all?

Please all click on the above link and subscribe to the user group.

I have no idea how this works - Admin have set it up and asked me to get you chaps to subscribe. Apparently it means we will be able to communicate with you all as one usergroup.

Anyway, the bottom line ius that POCUK Admin have offered to receive any hold the deposit money until we have it all in, then pay teh site. It'll be easier that way to monitor and of course it makes sense that a third party holds the money.

I assume we're ok to pay the full amount upfront or will that complicate the book keeping?

The extra fiver is a good idea, no reason why the organisers should be out of pocket.

Tiger & Apache if I can get or do anything to help let me know, you know stuff like get a couple of prizes for the treasure hunt or food and drink for the BBQ. You seem to have everything else well in hand.
